Duties and responsibilities

  • Accurate opening of files and recording of information
  • Maintaining files in accordance with the firm’s procedures
  • Executing all secretarial duties including correspondence etc.
  • Arranging meetings efficiently and updating supervisors’ diary
  • Typing documents accurately without errors
  • Following up independently with client on outstanding information and actions
  • Attending to routine correspondence and instructions of supervisor
  • Ensuring that invoices received on behalf of clients are captured on accounting systems for accounting department processing
  • Adhering to agreed month end billing procedures
  • Capturing approved invoices on account system
  • Sending invoices to clients timeously
  • Reconciling final accounts immediately after a matter is finalized
  • Handling of all general queries relating to invoices within a specified time period
  • Dictaphone typing

Skills and knowledge

  • Strong administrative skills to be applied to management of office files, incoming and outgoing correspondence (including e-mail) and electronic diary
  • Able and to work under pressure and priorities
  • Excellent/Expert in MS Office suite
  • Knowledge of CMS (Legal accounting systems)
  • High level of precision and attention to detail
  • Typing speed of 60 WPM and accuracy in dictation
  • Commercial Law & Litigation experience
  • Ability to handle all accounting issues
  • Flexibility with respect to time & work (will be required to do work outside office hours)


  • Matric/National diploma (Secretarial) or equivalent qualification
  • 7+ yrs relevant experience as a legal secretary
